ENERGY SCHOOL OF DANCING
TERMS & CONDITIONS OF MEMBERSHIP
Please read these Terms & Conditions carefully before registering your child with Energy School of Dancing.
By submitting a registration or booking with Energy School of Dancing, you confirm that you have read, understood and agree to these Terms & Conditions.
FEES & PAYMENTS
- All fees must be paid on or before the first lesson of each term/half term, or by the payment date stated on your invoice.
- Late payments will incur a £10 administration fee.
- Weekly payment arrangements are available only at the discretion of Energy School of Dancing. Where agreed, payments must always be made one week in advance.
- Fees are payable for all scheduled classes whether or not your child attends.
- No refunds or credits will normally be given for classes missed due to illness, holidays or other personal circumstances.
- Any outstanding fees or charges remain payable even if a student stops attending classes.
LEAVING ENERGY SCHOOL OF DANCING
- Once your child has registered and joined Energy School of Dancing, there is no need to re-register each term.
- If your child wishes to leave Energy School of Dancing or stop attending an individual class, a minimum of four weeks' written notice must be given.
- Notice must be provided during term time by email or another written method accepted by Energy School of Dancing.
- Notice cannot be given during school holiday periods.
- All fees remain payable throughout the four-week notice period whether or not your child attends.
- If the notice period extends into a school holiday, the equivalent of four weeks' class fees will still be payable.
- If the required written notice is not provided, an amount equivalent to four weeks' fees will be payable in lieu of notice.
CLOTHING & PERSONAL BELONGINGS
- Students must wear suitable dancewear and footwear appropriate to their class.
- Ballet, jazz and tap shoes should be worn where required, and suitable trainers/dance shoes must be worn for Street Dance.
- Energy School of Dancing uniform can be ordered through the school.
- No jewellery should be worn during classes for safety reasons.
- No chewing gum is permitted during classes.
- Long hair must be tied back securely.
- Students should avoid bringing valuables to classes.
- Energy School of Dancing cannot accept responsibility for lost, stolen or damaged belongings except where liability cannot lawfully be excluded.
CLASSES, SAFETY & BEHAVIOUR
- Parents/guardians must provide accurate and up-to-date information regarding any medical conditions, injuries, allergies, additional needs or other information that may affect their child's participation or wellbeing.
- Parents/guardians must inform Energy School of Dancing if any relevant information changes.
- Students are expected to show respect and good manners towards all teachers, staff and fellow students.
- Students must follow reasonable instructions given by teachers and staff, particularly those relating to health and safety.
- Energy School of Dancing reserves the right to remove or exclude a student from a class where there are reasonable concerns regarding behaviour, safety or the welfare of the student, staff or other students.
CLASS CANCELLATIONS
If Energy School of Dancing has to cancel a class, we will endeavour to provide an alternative class, replacement session or appropriate credit where reasonably possible.
Energy School of Dancing will not normally be responsible for additional costs incurred by families as a result of circumstances outside our reasonable control, including severe weather, venue closures, emergencies or other events beyond our control.
SHOWS, COMPETITIONS & PERFORMANCES
- Participation in shows, competitions and performances may involve additional charges, including costumes, entry fees, tickets, props and additional rehearsals.
- These costs will be communicated separately where applicable.
- Once costumes, props, competition entries or other items have been ordered or paid for on a student's behalf, payments are non-refundable where Energy School of Dancing is unable to recover the cost.
- Once Energy School of Dancing has announced its annual performance, any student withdrawing during the eight weeks before the performance will remain responsible for any show-related costs already incurred by the school on their behalf.
- No refund will be given for show payments where the money has already been committed or spent on the student's behalf.
- Competition entry fees are non-refundable once an entry has been submitted and paid to the competition organiser.
PHOTOGRAPHY & VIDEO
Energy School of Dancing may take photographs and videos during classes, rehearsals, workshops, competitions, shows and other school activities.
Photographs and videos may be used for legitimate school and promotional purposes, including the Energy School of Dancing website, social media and advertising, where appropriate consent has been provided.
Where the booking system allows parents/guardians to provide separate photography/video consent, this preference will be respected.
Parents/guardians should contact Energy School of Dancing if they wish to discuss or change their child's photography/video permissions.
SAFEGUARDING, DROP-OFF & COLLECTION
- Parents/guardians are responsible for ensuring that children arrive safely for their class and are collected promptly at the end of their session.
- Children remain the responsibility of their parent/guardian before their class begins and after their class has finished.
- Parents/guardians must inform Energy School of Dancing of any relevant collection arrangements.
- If an older student has permission to arrive or leave independently, the parent/guardian must inform Energy School of Dancing.
- Parents/guardians must ensure that emergency contact information held by Energy School of Dancing is kept up to date.
MEDICAL INFORMATION & EMERGENCIES
Parents/guardians must inform Energy School of Dancing of any medical condition, allergy, injury, medication or additional need that may affect their child's participation or wellbeing.
In the event of an accident or medical emergency, Energy School of Dancing will make reasonable attempts to contact the child's parent/guardian or emergency contact.
Where urgent medical attention is considered necessary and a parent/guardian cannot immediately be contacted, staff may contact the emergency services and act in accordance with their professional advice.
INJURIES & PARTICIPATION
Dance, acrobatics and performance activities involve physical movement and therefore carry an inherent risk of injury.
Parents/guardians are responsible for informing Energy School of Dancing of any injury, medical condition or other relevant information that could affect their child's ability to participate safely.
Students should not participate in an activity if they have been advised by an appropriate medical professional not to do so.
Energy School of Dancing will take reasonable steps to provide appropriate instruction, supervision and a safe teaching environment.
Nothing within these Terms & Conditions is intended to exclude or limit liability where it would be unlawful to do so.
DATA PROTECTION
Personal information supplied during registration will be used to administer your child's membership, classes, payments, communications, safeguarding and other legitimate activities associated with Energy School of Dancing.
Parents/guardians are responsible for ensuring that the contact, medical and emergency information supplied to Energy School of Dancing remains accurate and up to date.
Personal information will be handled in accordance with applicable UK data protection legislation and Energy School of Dancing's Privacy Policy.
CHANGES TO CLASSES & TEACHERS
Energy School of Dancing reserves the right to make reasonable changes to class times, teachers, venues and timetables where necessary.
Where possible, parents/guardians will be informed of significant changes in advance.
CHANGES TO THESE TERMS & CONDITIONS
Energy School of Dancing may update these Terms & Conditions from time to time.
Where a material change affects existing members, parents/guardians will be informed and the updated Terms & Conditions will be made available through our booking system.
ACCEPTANCE OF TERMS & CONDITIONS
Please ensure you have read these Terms & Conditions carefully before completing your child's registration.
By submitting your child's registration or booking with Energy School of Dancing, you confirm that you have read, understood and agree to these Terms & Conditions of Membership.
By completing the registration, you also confirm that:
- You understand that four weeks' written notice during term time is required if your child wishes to leave Energy School of Dancing or discontinue a class.
- If the required notice is not provided, an amount equivalent to four weeks' class fees will be payable in lieu of notice.
- Fees remain payable throughout the four-week notice period whether or not your child attends.
- The medical, emergency contact and other information you have provided is accurate to the best of your knowledge.
- You will notify Energy School of Dancing of any relevant changes to your child's medical information, emergency contact details or circumstances that may affect their participation.
- You understand that dance, acrobatics and performance activities involve physical activity and carry an inherent risk of injury.
